A dependable live production connects the programme, the audience and the technical plan well before the event begins.

Define the viewing experience

Start with who will watch and where. An internal meeting, a public launch and a hybrid conference need different approaches to access, presentation and interaction. Decide whether the stream will be public or restricted, whether questions are needed and whether a recording will be shared afterwards. Confirm who owns those decisions.

Turn the programme into a technical running order

Map speakers, presentations, videos, remote contributions and transitions against the event schedule. Identify the source of every item and who cues it. Share the running order with the host and production team so changes can be communicated clearly. A rehearsal should test the handovers as well as the individual components.

Treat sound and connectivity as core requirements

Clear speech helps the audience follow an event even when the visual content is simple. Confirm how microphones, presentation audio and remote speakers reach the stream. Review connectivity at the actual venue and agree what the team should do if it degrades. Where a fallback is available, test it before the event.

Agree roles and approvals

Assign responsibility for programme changes, speaker readiness, stream control and audience moderation. Make sure the team knows who can approve a last-minute change. Confirm the rights and permissions for music, slides, video and any material being recorded or broadcast. Brief speakers on microphones, camera position and presentation timing.

Plan the work after the live moment

Decide who receives the recording, how it will be stored and whether edited versions are required. Agree which deliverables are included before the event so the production team can capture the right material. After delivery, review what worked and what should change next time. Those practical observations make future events easier to plan.
