Designing Digital Systems People Actually Use

Useful systems begin with the people who use them. Map their tasks, observe the friction, and test the workflow before committing to a full build.

Useful systems begin with the people who use them. Map their tasks, observe the friction, and test the workflow before committing to a full build.

Observe the work first.

Watch how people complete a real task. Identify the decisions they make, the information they need and the steps that slow them down. A feature list alone will miss these details.

Make the next action clear.

Use familiar language, sensible defaults and clear feedback. Explain what happened after an action and provide a practical route to recover from an error.

Validate with the people using it.

Test a small prototype before building the full system. Ask users to complete realistic tasks without coaching, then improve the points where they hesitate.

Treat the whole journey as the product

A well-designed screen cannot compensate for an unclear process. Consider the invitation email, first sign-in, help text, approval notification and handover to the next person. These quieter moments determine whether the system feels dependable. Use the same names for the same concepts throughout the journey and explain any unfamiliar terms where they appear.

Before committing to a build

  • Identify the primary user and the task they need to complete.
  • Write down what success looks like in observable terms.
  • Test the difficult cases, including missing information and rejected submissions.
  • Agree who owns feedback after launch and how improvements will be prioritised.

Start with a clear brief, test the assumptions with real users and give the team a practical way to improve the solution after launch. Talk to Proximogies about your project.
